TOURNAMENT UPDATES & TIMELINE

DETERMINATION OF CHAMPIONS UPDATE, APRIL 28 10 AM

Teams which did not have an opportunity to receive trophies and medals and believe they finished 1st or 2nd based on "points per game" computations, should complete WSA CUP AWARDS DETERMINATION.

LOCAL teams may pick up TROPHY & MEDAL (complete form above by Monday) at either West Bank Sports Complex or Case Community Parks. 

TRAVELING teams may elect to have awards shipped (complete from above by Tuesday). 

REMINDERS:
The tournament software will not demonstrate the accurate points per game standings in the 5-team and 6-team divisions.  The software is NOT computing the games which originally were programmed to be "play-off" games (semis, finals, and consolation matches).   We have computed many of the divisions by hand.  We will have a final rendering posted later this week. 

Completing the WSA CUP AWARDS DETERMINATION is a method to help expedite the delivery of awards to your athletes.

Champions will be determined based on POINTS PER GAME.  WE ANTICIPATE THE SOFTWARE will not compute the standings correctly in 5-team or 6-team divisions (this is bc some of the game slots required to create the public schedule were borrowed from "playoff games" which will not compute into the standings table per encoding).  The software does not allow us to create manual games and add to the group game schedule.

Games after the morning hours will be modified in length to accommodate time required to play, travel, and also reducing athlete overuse for teams who will play 2-3 games in a short period of time. 

NO COACH CONFLICTS WILL BE RESOLVED.  Please use an assistant staff member.

UPDATE FOR SUNDAY, APRIL 27, SENT 6 AM

Team Leaders:

PLEASE REVIEW YOUR SCHEDULES AGAIN

Our ref assignors have worked through the night to re-assign over 100 games after receiving the schedule after 9 PM.

There could be MISTAKES.  It required about 80 hours to build the original schedule (last night we rebuilt it in 10 hours). 

In an effort to ensure your team plays, if needed there may games missing an AR in order to ensure all games have a game official that allows the match to proceed.  We expect and hope for this to be rare, if at all, but it could happen. 

STAYING ON TIME AFTER 12:00 PM - will be key.  Please abide by the MODIFIED GAME LENGTHS which have NO HALFTIMES.  

There are NO HALFTIMES in 4v4 or 7v7 after 12 PM and instead will include a "running clock water break" at the mid-point. 

There are NO HALFTIMES in the 9v9 or 11v11 after 12 PM and instead will include a "running clock switch ends". 

STANDINGS - the system will NOT be computing the standings.  These computations will happen by HAND by our STAFF.  

You can see RESULTS on the public schedule, but the final standings will require manual computation.  There are 36 divisions, 160+ teams, and nearly 200 games that will be computed (we did not plan for this).  

Lastly, our primary staff and coordinators did not end their day when the event was postponed on Saturday - that is when they began working on a reschedule process, field prep, re-assigning referees, working around a malfunctioning sofware, etc.... They have worked through the night - some prior to arriving today for their 12 hour shift, will have worked 20 straight hours. 

We understand your families will spend a brief time at the facility. 

You help in leading your families to understand that the process and effort and time is immense to pull off a reschedule - is appreciated. 

I expect our staff to treat all with kindness, understanding, and patience.  I appreciate your leadership of the same as we co-participate in delivering games to our athletes & families.

There is a CHANCE of weather this morning approximately 11 AM.  Going forward there is not an opportunity to reschedule or revise any further.  THEREFORE the PLAN for any lightning delays will be to standby during the delay until all-clear.  We will play "as much of each round as possible" inside the "allotted time" for the round.  Beyond that we cannot control will have no capacity to revise.

I have texted/emailed with over 50 teams tonight.  Several changes have occurred.

PLEASE USE THE CHART and READ THE INSTRUCTIONS CAREFULLY TO GET YOUR PROPER GAME TIME TO YOUR FAMILIES & ATHLETES.  SEE LINK ABOVE

As a REMINDER - there are NO SEMIS or FINALS.  All games will count towards points. Please advise your parents so they are aware. 

In the 5-team groups we are not able to create a 3-game scenario for every team.  We prioritized traveling teams, and then by random draw scheduled what could fit (keep in mind that a 5-team group requires one team to play 4 matches for all teams to play a minimum of 3 matches).  We had too many 5-team groups to move all of those unplayed games to the compressed schedule on Sunday. 

REMINDER AGAIN - THERE ARE NO FINALS, SEMIS, CONSO, or PLAY-IN GAMES.  IGNORE THOSE CONNOTATIONS.

The schedule software will not allow us to edit that.  Moreover the schedule software will not allow us to begin games on a compressed schedule which is why the CHART is now necessary to use to find your CORRECT game times for Sunday Afternoon. 

Thanks again for your assistance in co-participating in the EFFORT to deliver games to your athletes.  

We do expect a decent weather day on Sunday and are happy to be able to continue games. 

POINTS PER GAME & AWARDS CEREMONIES:  Points Per Game Calculator: points per win, 1 point per tie, 0 points per draw divided by number of games --- EX:  2 wins, 1 loss = 6 points / 3 games = 2 "points per game". 

If you are confident your team has mathematically secured 1st or 2nd place by the "points per game" equation above then please report to the AWARDS STAGE AREA. 

Please also be mindful that we did not forecast we'd be calculating 36 division "points per game" on Sunday to determine champions and finalists.   We WILL MOST DEFINITELY BE BEHIND, OVERWHELMED, and DOING OUR BEST to stay on top of standings. We appreciate your patience. 

IF you are declared champion after your team exits the facility, and are unable to collect your trophy & medal we will create a local trophy pickup beginning Tuesday next week. 

IF you do attend the Awards Stage as CHAMPION a reminder the tournament committee will ask for a PLAYER of TOURNAMENT NOMINATION.

ACTION 1:  Rain Expected 11:00 AM Saturday

  • We do plan to play through the rain that is expected to arrive approx 11 AM.
  • We currently forecast rain to be dissipated by 12:30 PM. 
  • Assuming there is NO LIGHTING all games will proceed. 
  • Fields will be evaluated following the rain. 

Rain  & Possible Storms expected approximately 3:30 PM Saturday 

  • IF there is LIGHTNING - all participants should immediately evacuate to cars and standby. 
  • IF there are lighting delays the 2:15 PM games will be assessed as "score stands" or "resume play". 
  • A message will be sent via text, email & social media re: the 2:15 PM games first.  You will be told of approx "all-clear" times and/or an "all clear time" or that scores stands and games are complete. 
  • The remaining games, 345 PM, 5PM, 515 PM, 6 PM, 645 PM, 7 PM time allows, will be played. 
  • It is POSSIBLE that the time slots above will have games shortened in length (to complete games on time, by 8:15 PM). 
  • IF it is NOT POSSIBLE to complete all games Saturday night a message will be sent regarding a plan to revise schedules for Sunday, or revise format for Sunday.  This message will be sent by 10:30 PM.  
  • TEAM LEADERS SHOULD STAY TUNED IN TO MESSAGING UNTIL 10:30 PM and should assume responsibility for pushing communication to all team members up until 10:30 PM Saturday Night. 
  • IT IS POSSIBLE THAT RAIN or STORMS COULD ARRIVE BEFORE or AFTER 3:30 PM in which case we will modify the plan.

West Bank Field #12 revised to West Bank Field #3 (or #9) 

This is due to Field #12 being water logged and was unable to be prepped for play and we anticipate future rain creating further standing water issues.

WSA CUP THINGS TO KNOW 

As of Thursday April 24, 12:30 PM CST tournament is still on with no expected delays (see below for field revisions). 

REMINDER FRIDAY NIGHT GAMES:  Many 530 PM kickoffs have been moved to 545 PM and many 7 PM kickoffs moved to 645 PM.  No field changes as of Thursday, April 24, 1 PM CST.

We obviously acknowledge we cannot forecast all weather, and will remain tuned in to the weather and monitor for safety. 

 

WSA CUP THINGS TO KNOW:

1. In case of any severe weather threat during play the field marshals will sound an AIR HORN.  This signals all to evacuate the fields IMMEDIATELY WITHOUT DELAY to cars.  Team Leaders will receive communication by email & text alert, WSA social media outlets, including website will attempt to update:

2. There are no bleachers at the facility.  Bring your own chair.
 

3. West Bank Field #12 likely moved to West Bank Field #3 (due to standing water on F#12)
 

4. West Bank Field #6 is changed to West Bank Field #7
 

5. If there is continued rain, Case Community Field #2 and/or Case Community Field #10 could be moved to West Bank Sports Complex.
 

6. Case Community Field #20, 9v9,  is located approx. 1/8 mile “SOUTH” of the main facility.  Continue driving 1/8 mile south around the “bend in the road” and you will see the field on right hand side.
 

7. We expect parking to be a challenge due to the number of teams, other events in the park, and construction.  PLEASE ADVISE ALL TEAM MEMBERS to budget 15-20 minutes from arrival to “parking” at both facilities.  ARRIVE EARLY.

Please NOTE that OVERFLOW parking lots are “grass” and continued rain could shut down those parking lots.  Vehicles driving into those lots will likely get “stuck” and we do not have resources to tow or remove stuck vehicles.

 

9. USING THE PARKING PASS – There will be parking attendants at most exit/entrances.  This pass will signal to parking attendants that you are a part of the WSA Cup and it will waive any other admission/gate collections for other events at the park.  IT IS IMPORTANT TO HAVE THE PARKING PASS IN THE VEHICLE.
 

10. PRE-GAME CHECK-IN – HAVE YOUR TEAM ROSTER (physical or digital copy) available for the referee to view pre-game.   Expect referees to do a quick abbreviated pre-game checkin with players.
 

11. POST GAME PROCESS / SCORE REPORTING – The referee will assign a SCORE to the MATCH CARD.  It is important that you review the match card and verify the score is correct.
 

12. TIE BREAKER RULE OVERRIDE – There is a maximum of “5” in all tiebreakers for goals scored, goal difference, and goals allowed.
 

13. REACHING THE FINAL – All teams reaching the FINAL will report to the PROVING GROUND AWARDS STAGE (see field map of Case Community Parks).  Players will receive a medal “off-stage” and then receive team cup on stage for quick photos opportunity.  A KEN LOVELEE PLAYER of the TOURNAMENT AWARD will be presented on stage to ONE PLAYER (of the Champion team).

Please review your schedule.  Some 7 PM games have been moved to 645 PM, and some 530 PM games have been moved to 545 PM.  

WEATHER UPDATE –

As of Wednesday, 11 AM CST, we do plan to play.  Our facility will be completely dry by Wednesday evening from this past weekend’s flooding.  We do anticipate quite a bit more rain on Thursday and Friday.  Based on the forecast we believe we can proceed with the tournament. 

FIELD UPDATES – 

We have been moving water off of fields since Monday, and have plans to do so again as needed this weekend.  Some fields will be “likely” to hold water and may have schedule revisions.  As we make schedule revisions in an effort “to play” we want to fully disclose that 

NO CONSIDERATION with NO EXCEPTION can be given to COACH CONFLICTS

Please be prepared to have assistant staff ready to cover games if we must revise the schedule due to weather. 

We have added additional fields to our schedule grid to prepare for some field surfaces that we forecast have a risk of being unplayable.

STANDARDS BEING APPLIED TO EVALUATE FIELDS -- 

Safety – the capacity to play a game safely 
Playability – the integrity of match play, i.e. can the ball roll over the majority of the playing surface 

Logistics – parking, tournament admin, ingress & egress for large crowds, etc… 

As of Wednesday at 11 AM every field is playable. 

TRAVELING TEAMS -- 

We did contact our hotel coordinator, 3-Stone and they have contacted all hotels to alert them that there was a possibility of an “Act of God” event related to WSA Cup. 

We encourage all team leaders to contact their respective hotel to find out your hotel's policy.

As of Wednesday 11 AM CST we plan to play.  We will update to continue to confirm that position or to notify if anything changes. 

We have considered traveling teams as a priority in our decision making process. 

WEATHER SAFETY & IN TOURNAMENT ALERTS -- 

It is also possible that there are “lightning delays”.  If a facility undergoes a lightning delay please abide by the facility policy by evacuating to cars immediately.  Be sure your team leader has access to EMAIL and TEXT ALERTS from the tournament for updates.

If you coach a 4v4 TEAM your schedule was changed today due to field revisions. 

For 4v4 teams ONY -> Please use the schedule feedback form to alert us if any of the revisions have created a coaching conflict, or scheduled a lack of a rest interval. 

We do expect further revisions in the 4v4 schedule as we sort through confirming fields.

If you have a roster revision after completing online check-in you can complete the ROSTER REVISION form located in the ONLINE CHECK-IN PORTAL.

PARKING & TRAFFIC FORECAST FOR WSA CUP WEEKEND

Both facilities, Case Community Parks & West Bank Sports Complex, currently have significant construction off highway exits. 

In addition Case Community Parks has significant construction in and around the facility. 

We also anticipate significant parking delays at Case Community Parks. 

Please stay tuned as we attempt to construct best processes for entering, exiting, and parking at the WSA Cup.
